Process Review: Volunteer Management
Do you manage volunteers on a regular basis?
If so - do you struggle to get enough volunteers to support your events (or are you stuck pulling teeth to get sufficient bodies on your roster)?
Well if your “regular” volunteer group is held together by:
a small handful of "diehard" individuals (that I guarantee are getting tired, y’all)
duct tape
a prayer
We need to talk…like, yesterday… 😳
Hi. My name is Stella.
And as someone who has volunteered since she was a kid (first with Girl Scouts, then with band, choir, theatre, soccer, Army FRG, PTA, BBQ Cookoffs, the League City and Galveston Chamber of Commerce, the city of League City, the Galveston Sandcastle Festival, pretty much allllll the activities a service-hearted gal can get into!), I have been “behind the lines” of some very very GOOD organizations…and a handful of events that I will NEVER volunteer for ever again. 😬
At the end of the day, the thing that volunteers need most is CLEAR EXPECTATIONS and COMMUNICATION.
If you don’t have a Volunteer Management & Coordination system (or person!) to keep your non-profit running smoothly, it’s gonna be a nonstop uphill battle to recruit enough resources to expand your vision.
This Volunteer Management session includes a 2-hour meeting to discuss:
Assessment of how your organization operates today
Review of all your upcoming/annual events
Discussion of what it will take to successfully execute them
After we finish our meeting, I will head to the drawing board to create:
A custom “Volunteer Handbook” that can be easily updated with each event, and will clear up so. much. confusion - as well as eliminate those panicked group texts the night before a big day
A “Volunteer Info Worksheet” that you can print out to collect contact info at your next recruitment meeting
A “Volunteer Roster” spreadsheet created in Google Drive, ready to copy, populate, and share with your entire team for visibility (and to make sure y’all are fully in sync!)
A “Volunteer Questionnaire” that you can require all prospective volunteers fill out to document support needs (dietary restrictions, accessibility, contact preferences, etc.) and gauge availability
Let’s get your Volunteer Management system established so you can spend MORE of your time enjoying the lovely GOOD you are doing in the world (and LESS of your time calling in favors at the 11th hour!). 🤗
(P.S. if you don’t have anyone to actively handle the Volunteer COORDINATION for your organization, and have the ability to invest in a dedicated resource to do this on a part-time yet regular basis, please contact me! Always happy to help where & when I can. 💖)
